How Teleios Software Solutions collects, uses and protects information.

Last Updated: November 3, 2026

Teleios Software Solutions ("Teleios", "we", "us" or "our") respects privacy and aims to handle personal information responsibly. This Privacy Policy explains how information may be collected, used, stored and shared when you visit teleios.lk, contact us, request a quotation, purchase or use our products, or receive our services.

Teleios Software Solutions is a business name used by a sole proprietorship operating in Sri Lanka. References to "Teleios" in this policy mean that business and its proprietor. This policy should be read together with our Cookie Policy and Terms of Service.

1. Information We May Collect

Depending on your interaction with us, we may collect:

  • Identity and contact information: name, business name, email address, telephone number, WhatsApp number and business address.
  • Enquiry and project information: requirements, messages, quotation details, feedback, approvals and project-related correspondence.
  • Customer and transaction information: services purchased, invoices, payment status and relevant business records. Payment card or banking credentials should be provided directly to the relevant payment provider, not sent to us unless specifically required through a secure process.
  • Newsletter information: email address and subscription preferences, where you choose to subscribe.
  • Technical and usage information: IP address, browser and device information, approximate location, referring pages, log information and interactions with our website, where collected by our hosting, security or analytics tools.
  • Service data: information you or your organisation provide for a software project, support request, hosting arrangement, POS installation or other agreed service.

Please do not submit sensitive personal information, passwords, payment credentials or confidential third-party information through general website forms unless we have specifically requested it through an appropriate secure channel.

2. How Information Is Collected

Information may be collected when you:

  • Complete a contact, quotation, newsletter or other website form.
  • Contact us by telephone, email, WhatsApp or social media.
  • Enter into a quotation, project, support or service arrangement.
  • Use our website, software, POS products or support channels.
  • Interact with third-party features embedded in our website.

Some technical information may be generated automatically by the website, hosting provider, security tools or third-party services, subject to their configuration and your browser settings.

3. How We Use Information

We may use information for purposes such as:

  • Responding to enquiries and preparing quotations or proposals.
  • Discussing requirements, delivering projects and providing customer support.
  • Setting up, maintaining and troubleshooting websites, applications and POS systems.
  • Managing customer accounts, orders, invoices and business records.
  • Sending service notices, project updates and administrative communications.
  • Sending newsletters or promotional messages where permitted and, where required, with your consent.
  • Maintaining website functionality, security, fraud prevention and service quality.
  • Understanding website performance and improving our products and services.
  • Meeting applicable legal, accounting and regulatory obligations or responding to lawful requests.

4. Grounds for Processing

Where applicable law requires a lawful basis for processing, the relevant basis may depend on the context. It may include taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, pursuing a legitimate business purpose that does not override applicable rights, or obtaining consent where consent is required. We will not treat this list as a substitute for assessing the legal basis for a particular processing activity.

5. Contact Forms and Communications

If you contact us, we use the details and message you provide to respond and manage the enquiry. We may retain relevant correspondence so that we can follow up, maintain business records and resolve disputes. If you contact us through WhatsApp, a social network or another external platform, that platform will also process information under its own terms and privacy policy.

6. Newsletter and Marketing

If you subscribe to updates, we may use your email address to send information about Teleios services, products, announcements and offers. You may opt out using an unsubscribe method included in the message, where available, or by contacting us at info@teleios.lk. We will continue to send essential service or transaction messages where appropriate even if you opt out of marketing.

7. Cookies and Similar Technologies

Our website and third-party tools may use cookies, pixels, local storage or similar technologies for essential functionality, preferences, security, analytics or embedded content. The technologies actually used depend on the website features enabled at the time. See our Cookie Policy for further information and browser controls.

8. Service Providers and Sharing

We do not sell personal information as a business practice. We may disclose information where reasonably necessary to:

  • Website hosting, domain, email, cloud storage, backup and infrastructure providers.
  • Payment, accounting, communication, analytics, security and technical service providers.
  • Third-party platforms or APIs selected for a project or requested service.
  • Professional advisers, auditors or insurers where appropriate.
  • Public authorities, regulators or other parties where required or permitted by law.

We aim to share only information reasonably needed for the relevant purpose. Service providers may process information under their own terms and, where appropriate, contractual arrangements with us.

9. International Processing

Some service providers used for hosting, email, analytics, cloud infrastructure, maps, video or communications may store or process information outside Sri Lanka. The countries and safeguards may depend on the provider and the service configuration. Where applicable law imposes requirements on overseas processing or transfers, we will take steps required by that law. You may contact us for further information about a particular service used in your project or enquiry.

10. Customer Systems and Business Data

When Teleios develops, installs, hosts or supports software for a customer, the customer may provide or control business information and end-user data. The customer is generally responsible for determining what data is collected through its business system and for providing appropriate notices and obtaining permissions where required. Teleios will handle such data according to the agreed scope, instructions and applicable law. The project quotation or a separate data-processing agreement may set out additional responsibilities, security arrangements, access controls, backups, retention and deletion procedures.

Customers should not provide data that is unnecessary for the work. Access credentials should be shared through an appropriate secure method and revoked when no longer required.

11. Data Security

We use reasonable technical and organisational measures appropriate to the nature of the information and the services provided. Depending on the service, measures may include access restrictions, authentication, secure connections, software updates, backups and limited access to project information. No internet transmission or storage method can be guaranteed to be completely secure. Customers remain responsible for securing their own devices, accounts, networks and credentials unless those matters are expressly included in our service scope.

12. Data Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain customer and accounting records, meet legal obligations, resolve disputes and enforce agreements. Retention periods vary according to the type of information, the service and applicable requirements. When information is no longer required, we will take reasonable steps to delete it, anonymise it or securely dispose of it, subject to lawful retention obligations and legitimate backup cycles.

13. Your Choices and Requests

You may contact us to ask about personal information associated with you, request correction of inaccurate details, withdraw consent where processing is based on consent, or raise a concern about how information is handled. Any request will be considered under the laws and procedures applicable at the time, including any conditions, exceptions or limitations. We may need to verify your identity before responding. A request may not require us to delete information that we must retain for legal, contractual, security or legitimate record-keeping purposes.

14. Children

Our services are generally directed at businesses, organisations and general website visitors. Our website is not designed to knowingly collect personal information from children for independent use of our services. If you believe a child has provided personal information to us, please contact us so that we can assess the matter and take appropriate steps.

15. Third-Party Websites and Embedded Content

Our website may link to or display content from external websites and services, including Google Maps, Google Reviews, YouTube and social media platforms. We do not control the privacy practices of those independent providers. Please review their privacy notices before using their services.

16. Changes to This Policy

We may update this Privacy Policy to reflect changes in our business, website, technology, service providers or legal requirements. The updated version will be published on this page with a revised "Last Updated" date. Significant changes may also be communicated through an appropriate channel where reasonable.

17. Sri Lankan Data Protection Law

We aim to handle personal information in accordance with applicable Sri Lankan law. The Personal Data Protection Act, No. 9 of 2022 has been amended, and commencement dates for its provisions have been set by legislation and Gazette orders. The legal requirements applicable to a particular activity may therefore depend on the relevant commencement date and other applicable law. This policy is not a statement that every provision or right under that Act is currently in force. We will review our practices and this policy as the applicable framework changes.
